Keeping Clients Happy (And Off Your Back)
How to update your clients so they stop ringing you every afternoon.
Clients do not ring every afternoon because they enjoy it. They ring because they are spending more money than they ever have on something they cannot see progress on, and silence feels like something has gone wrong.
The weekly update that ends most of the calls
Same day, same format, every week, even in a quiet week. Four lines is plenty:
- What happened on site this week
- What is happening next week
- Anything we need from you, with a date
- Two or three photos
"Nothing this week, waiting on the frame inspection" is still an update. An unexplained gap is what people fill with worry.
Set the expectation at contract signing
Tell them at the start how updates work, which day they land, and how to reach you for something urgent. Clients who know the rhythm wait for it. Clients who do not, chase.
Put selections and variations in writing
Almost every ugly conversation at handover traces back to something agreed verbally on site months earlier. Price the variation, send it, get it approved before the work happens. It feels slow on a Tuesday and saves the relationship in month nine.
Deliver bad news early and with a plan
- Say what has happened, plainly.
- Say what it means for the date and the cost.
- Say what you are doing about it.
- Say when you will next update them.
Clients forgive delays. They do not forgive finding out about a delay three weeks after you knew.
Finish properly
A tidy handover pack — warranties, manuals, the defect list with dates against it, and who to call — is the last thing they remember. It is also the cheapest referral marketing in the business.
